Job Title: Administrative Assistant
Position Summary
The Administrative Assistant for Congregational Care & Hospitality provides vital support to the ministries of Athens First United Methodist Church by offering administrative assistance, extending hospitality, and ensuring a welcoming presence throughout the week. This individual serves as the first point of contact for visitors and members—both in person and over the phone—and supports the church’s mission of caring for its congregation and community.
Reports to: Associate Pastor
Hours: Full-time, includes Sundays
Key Responsibilities
Front Desk & Hospitality
- Serve as the welcoming face of the church by greeting all visitors and guests with warmth and professionalism.
- Answer phones, direct calls, and respond to general inquiries in a helpful and timely manner.
- Maintain an inviting and organized front desk and lobby area.
- Coordinate hospitality needs for meetings, events, and visitors as needed.
- Works with Director of Mission to assist Community Guests.
Administrative Support
- Provide administrative support for the congregational care and hospitality ministries, including maintaining records, preparing correspondence, and managing communication lists.
- Assist with scheduling appointments, sending reminders, and maintaining accurate data related to care visits, prayer lists, and membership updates.
- Prepare materials and communications and assist with scheduling special events, services, and ministry gatherings.
- Assist with church publications or communications as assigned.
Sunday Support
- Serve as a “Sunday floater” to assist with hospitality, guest connection, or logistical needs during worship and Sunday morning activities.
- Support staff and volunteers to ensure a smooth and welcoming Sunday experience for members and guests.
Additional Duties
- Maintain confidentiality in all matters related to congregational care.
- Participate in staff meetings and contribute to the overall mission and ministry of Athens First UMC.
- Perform other duties as assigned to support the life and work of the church.
Qualifications
- A heart for ministry and a genuine gift for hospitality.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and communication skills, both written and verbal.
- Being a self-starter and taking initiative to help members with ministry-related questions.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and willingness to learn church management software.
- Ability to maintain confidentiality, professionalism, and a positive attitude.
- Availability to work Sundays and occasional special events.
